Half the work of a great scan is good planning upfront. We coordinate heavily with your team to ensure zero disruption to the guest experience.
1. The Pre-Shoot Briefing
We prefer that your marketing head loops us in well in advance. Our team usually arrives the evening before the shoot. We like to sit down with all the HODs to answer questions, explain the technology, and give last-minute staging tips.
2. Exteriors & Reception
We try to shoot exteriors very early in the morning to avoid traffic. We require engineering to keep the hotel's logo lights and fountains turned on, even during daylight hours. We'll ask valet to clear cars from the immediate entrance.
3. F&B and Common Areas
We require the HOD or housekeeping staff to be available on call at all times. If a chatty guest approaches the camera during a lobby scan, we'll pause our work and politely ask staff to redirect the conversation to a lounge out of sight.
4. Guest Rooms
Rooms are shot exactly as they would be when a guest arrives. We do not add fake props just for the sake of the shoot. We'll open all curtains, turn on every light, and ensure the space looks perfectly inviting.
How to Prepare Your Hotel or Resort
Our camera captures exactly what is in physical space. A perfectly staged property looks highly premium. Please share these guidelines with your housekeeping and F&B teams.
Guest Rooms & Suites
- Perfect the Bedding: Ensure all bed linens are freshly ironed. Towels in the bathrooms should be new or perfectly folded.
- Hide the Clutter: Tuck away visible charging cables, and hide tissue boxes and garbage bins (we will put them back after the scan).
- Open the View: Draw back blackout curtains to showcase the view and allow natural light in. Turn on all lamps and room lights.
Lobbies & Reception
- Clean Surfaces: Have housekeeping wipe down reception desks, glass doors, and elevator banks to remove fingerprints and smudges.
- Remove Temporary Promos: Hide dated QR codes and promotional standees (e.g., "Happy Hour Today!"). The 3D tour will live online for years; keep it evergreen.
- Staff Positioning: Ensure receptionists, valet, and security staff step entirely out of the camera's line of sight during the lobby capture.
Restaurants & Bars
- Stock the Bar: Ensure liquor bottles on display are full, not half-empty, with the best premium labels positioned at the front.
